Who this notice covers

AfriTrace Link is an initiative of Goblis Foundation. This notice covers the public AfriTrace website and enquiries sent to the project team. Contact info@afritracelink.com about personal information, access or corrections.

Information used

Website requests can contain an IP address, browser information, page address and request time. These technical records support delivery, security and fault investigation. If you allow optional public-site analytics, Google Analytics receives measurement events for the public page origin and path; private AfriTrace workspaces are excluded from that integration. If you email us, we receive your address and the information you choose to include. Public listings may contain information that an organisation has approved for publication.

First-party contact cases

When you submit an enquiry through our website, we process the name fields, email address, country or territory, chosen topic, message, consent acknowledgement, reference and submission time. The contact details and message are encrypted in the application and routed to a restricted communications, finance or privacy review queue. The address is not independently verified by submitting a form. We do not subscribe you to marketing or automatically send an email response. Authorised case reviewers may record encrypted internal notes; a permitted redaction removes the stored enquiry and previous notes while retaining limited non-personal case audit metadata including a predefined redaction-basis category. Case retention and lawful deletion decisions remain subject to review, applicable obligations and backup retention.

Newsletter subscriptions

If you request the AfriTrace newsletter, we store your email address, chosen interests, confirmation status and subscription history. The address is encrypted in the application. A confirmation email verifies your subscription before newsletters are sent. Each newsletter includes links to change interests or unsubscribe. Suppression records help prevent unwanted future sends. Email transport services receive the address and message needed for delivery. Newsletter pages do not load optional analytics, and newsletters do not include open or click tracking.

Purpose and access

Use enquiry information to respond and coordinate the requested participation or support. Limit access to people and service providers who need it for that purpose. The website uses AWS hosting and Google Workspace email; technical delivery and support may involve processing in more than one country. Do not send sensitive documents until an appropriate secure channel is agreed.

Retention and your choices

Keep personal information only as needed for the relevant purpose and applicable obligations; security records and backups may have different retention periods. You can ask what information is held, seek correction or deletion, or raise an objection. We may need to verify your authority before disclosing or changing records.

Requests and complaints

Email the team with the relevant page or enquiry reference. Explain what you want corrected or reviewed; never include passwords. Applicable data-protection rights are not removed by this notice. In Kenya, information about rights and complaints is available from the Office of the Data Protection Commissioner at Office of the Data Protection Commissioner.
